Eurofins ECCA is one of the largest laboratories in Belgium, specializing in feed, food, and environmental testing. With a team of over 130 employees, Eurofins ECCA collects dozens of samples from clients across Flanders every day. They also operate their own service to pick up samples from clients and bring them to the lab for analysis, with a strong focus on service.

To efficiently manage these growing field service operations, Eurofins ECCA switched from manual planning and paper forms to Movetex’s smart field service planning software.

Challenges

“Every day, we visit an average of 70 clients across Flanders to collect samples,” says Tineke Desmet, Customer Operations Manager. “For some clients, we have very tight time windows, and samples must reach the lab at specific times so that we can deliver results on time. This made planning extremely complex and time-consuming.”

Tineke explains that the old software was insufficient: “Our planning started with an outdated system, and three planners were constantly manually handling last-minute changes. It took up a lot of our time every day.”

Capacity was also a challenge. “With seven internal drivers and a maximum of three external drivers, it was difficult to complete all assignments. Our drivers also worked with paper logs, so feedback had to be passed through the back office to the lab. Clients often didn’t know when we would arrive, and they received no confirmation that the pick-up had taken place.”

Tineke also highlights a second dynamic: “In addition to sample pickups, we also schedule around thirty field technicians for sample collection and asbestos experts on site each day. These are not fixed daily schedules; it’s a continuous and dynamic planning process where client appointments are crucial. We needed a solution that could combine both the complex sample planning and this dynamic field scheduling in one system.”

Solutions

Tineke Desmet explains how Movetex helped: “With Movetex, we can now calculate the most efficient schedule with just one click. All requirements are taken into account: time windows, working hours, skills of our sample collectors and drivers, and priorities.”

Thanks to the Mobile App, inspectors and sample collectors now have a digital work log. “They can fill in feedback on-site, collect signatures, and take photos, while we in the back office monitor progress in real time and receive automatic reports,” Tineke says.

Customer communication is also fully automated. “Previously, we had to call clients every time to announce our arrival. Now they receive an estimated arrival time in advance, a reminder one hour before the appointment, and afterward a PDF confirming the pick-up. Everything is fully digital and branded in our style. It saves us a lot of time and improves client satisfaction.”

Tineke adds, “The entire process of planning, execution, and client communication is now fully digitized and much more efficient. Our planners have time to plan ahead instead of constantly putting out fires.”

Results

Thanks to Movetex, efficiency and service have significantly improved. “Where we previously sometimes needed up to three external drivers, now usually only one is sufficient. The back office spends far less time solving the puzzle of last-minute changes, and our inspectors work 100% digitally.”

Tineke emphasizes the impact on client experience: “Clients no longer call to ask about their sample pickups. Automatic digital confirmations and pick-up receipts eliminate disputes. Clients are enthusiastic about the new way of working, and we can focus on service and quality.”
