How Vietz's service vans efficiently cross the entire Netherlands using the best proposal functionality

Challenge

The logistics planner at Vietz faces a complex task. Efficiently picking up bikes for repair, combined with delivering new bikes, requires careful coordination, considering a customer base spread across the Netherlands. Vietz maintains a fast service to meet their customers' expectations optimally. Customers want to have their new bike available as quickly as possible. Optimally utilizing the capacity of the service van was essential to lower operational costs and limit the number of trips. Besides the logistics process, Vietz aimed to reduce the number of phone calls through streamlined communication. Random emailing, occasional calling, and following up with customers to schedule appointments took up a lot of time daily, at the expense of other important tasks. 

Solution

Through the built interface with Cyclesoftware, pickup and delivery orders are received in real-time in Movetex. Using rules set in Movetex, the orders are supplemented with relevant planning information. Vietz uses the best proposal functionality in Movetex to formulate a proposal for the end customer. The best proposal considers the planning information on the order and reviews the different schedules of the drivers who have the skills to perform the task. These are presented to the planner in order of efficiency (minimum kilometers driven, minimum driving time), allowing the planner to schedule the order in one go and send a planning invitation to the end customer. Even if an order falls through, the reverse best proposal can quickly add a pickup order to a route, again considering the set parameters with an eye for efficiency. The evening before, Vietz also sends track-and-trace links to their end customers so they can follow the delivery. This reduces ad-hoc calls to the back office and increases customer satisfaction.
